Holding Successful meetings with Staff
Follow these tips to ensure a successful meeting, whether you are focusing on KPIs, the Whole Job Review, PDPs or any related topic:
Before the meeting:
- Agree a mutually-convenient date, time and place
- Book a private meeting room or office
- Complete the necessary preparation – allow adequate time for this
- Take preparation notes and any relevant documentation to the meeting
- Divert phone calls and ensure no interruptions.
During the meeting:
- Confirm understanding of meeting purpose, agenda and outputs
- Confirm confidentiality of the discussion
- Make sure the discussion is not all one-way
- Be prepared to change your point of view on the basis of evidence
- Use open questions to generate debate, closed questions only to check facts
- Listen actively and be aware of body language
- Check understanding and summarise at key points
- Take notes to help your memory
- Agree next steps
- Thank the jobholder for their participation.
After the meeting:
- Complete the relevant forms
- Obtain sign-off where required
- Input to electronic system where possible
- Follow-through on actions agreed and monitor progress.
